One case manager per file
Most outsourcing runs on departments. Six people touch a file, none of them owns it, and every one of them assumes somebody else called the client. Things fall through the cracks — and you find out when your client does.

Monday
You sign a motor-vehicle case and send it over. That afternoon a case manager — the same person who will still be on this file at settlement — calls your client, sets expectations, gets the authorizations executed and opens the matter in your case system. Not ours.
Week one
Claims are opened with every carrier on the loss and letters of representation go out. Coverage is confirmed and policy limits are established now, so you learn what you are building toward at the start of the file rather than after the demand has gone out.
Weeks two to twelve
Every provider is requested and chased by our own records desk rather than handed to a retrieval vendor. Treatment is watched, and a gap in care is flagged while it can still be closed — before the defense is the one to find it. Missing pages surface as they appear, not when the demand is being assembled.
Every second week
Your client hears from their case manager by name, whether or not there is news, and the conversation is logged in your system where you can read it. A client who is called on schedule does not call your firm asking what is happening.
Treatment ends
The medical chronology is built from the complete record, damages are assembled, and the demand is written to your firm's template rather than a generic one. It comes to you for review. You approve it, and it goes out under your name.
After the demand
Offers are pursued, countered and pushed by the case manager who built the file, so nothing has to be explained to a stranger first. Every settlement decision stays yours — the negotiation is run for you, never on your behalf without you.
Settlement
Liens identified early in the file are negotiated down provider by provider. The file closes clean at settlement. What comes off the lien side is money that reaches your client instead of a provider.
One case manager owns the file and contacts your client every two weeks — news or no news. Every conversation logged in your own system.
